How Property Manager works

From the first property card to monthly invoices, signed acts and cash-flow reports — here is what the app does and who it is built for.

The monthly workflow

  1. Describe your portfolio

Add buildings and split them into units with areas and photos. Every lease, meter and expense later attaches to this structure.

  2. Add tenants and leases

Store tenants, contacts and companies with their bank details. A lease links units to a tenant with dated per-unit pricing, payment terms, fines and deposits — in UAH, USD or EUR.

  3. Enter meter readings

Once a month, type in the readings. The app applies the tariff valid for that period, computes consumption and apportions shared costs by rented area.

  4. Generate invoices and acts

Rent and utility invoices are assembled from the lease terms and readings. Acts of completed works are generated alongside for Ukrainian accounting.

  5. Send documents by email

Invoices and acts render as clean PDF files from editable templates and go out to tenants by email — in Ukrainian or English, per tenant.

  6. Record payments and review reports

Register full or partial payments, watch overdue invoices, and drill income down from property to individual lease with expenses and net income.

Core functionality in detail

Properties & units

A catalogue of buildings and units with areas, photos, documents and current occupancy — the backbone the rest of the app builds on.

Tenants & counterparties

Tenants, contact persons, companies, bank accounts and issuers — everything needed to fill contracts and payment documents correctly.

Leases with full history

Per-unit prices with validity dates, so raising the rent never rewrites history. Contract numbers, payment terms, fines, deposits and utility prepayments.

Utility billing engine

Meters per property, dated tariffs, extra services and shared-cost apportioning. Readings turn into invoice lines automatically.

Invoices, acts & payments

Numbered invoices with line items and statuses, acts of completed works, and a payment log that supports partial payments.

PDF & email templates

Per-language, editable templates for invoice and act PDFs and the emails that deliver them. Ukrainian and English out of the box.

Reports & currencies

Income drill-down from property to lease, month by month, expenses by category and net income — converted at official NBU exchange rates.

Team & organisations

Invite colleagues by email into your organisation with roles. Every record is scoped to your organisation and invisible to anyone else.

Who benefits

Private landlords

A few apartments and a folder of spreadsheets? Get invoices, utility math and payment history handled in minutes a month.

Property managers

Running portfolios for several owners: keep each portfolio in its own organisation with its own team and reporting.

Small companies & FOPs

Renting out commercial space: acts of completed works, numbered invoices and multi-currency reports fit Ukrainian accounting practice.

Co-ops & associations

Meters, tariffs and shared-cost apportioning make recurring utility billing across many units predictable and transparent.

Why use it

  • Replaces spreadsheets: one place for properties, contracts, money and documents.
  • Utility calculations are automated — dated tariffs and consumption are computed, not copy-pasted.
  • Documents look professional and go out on time, in the tenant's language.
  • Payment history and overdue invoices are always visible, per lease and per property.
  • Bilingual interface and documents: Ukrainian by default, English when needed.
  • And it is completely free until the end of 2026.
